Requester

Make a booking
  1. 1 Check availability at Calendar → pick a day → use “Preview”.
  2. 2 Start a request at New Booking → choose “Room Booking”.
  3. 3 Select room(s). Review built‑in facilities shown for each room.
  4. 4 Optional: request IT/Maintenance items with quantities and notes.
  5. 5 Submit. You’ll receive an email with a manage link.
Respond to Action Required
  • Open the “Manage Booking” link from email.
  • On the Respond page you can proceed without unavailable items, change date/time, or cancel.
Track your booking
  • Status updates appear via email.
  • You can still cancel while Awaiting Dept/Admin with reasonable explanation.

IT Department

Your dashboard
  • Open the IT Dashboard from the main menu.
  • Lists: Awaiting IT Feedback, , Flagged Unavailable, Manage Room / Equipment, Manage Bookings, Report, Edit profile.
Give feedback
  1. 1 Open a booking → review requested items and notes.
  2. 2 Choose Available / Not Available / Not Needed per request.
  3. 3 Add remarks if needed → Submit.
After both departments submit, status moves to Awaiting Admin.
Approved events can be viewed at the dashboard calendar.

Maintenance

Your dashboard
  • Open the Maintenance Dashboard from the main menu.
  • Lists: Awaiting Maintenance Feedback, Flagged Unavailable, Manage Equipment, Manage Bookings, Report, Edit profile.
Give feedback
  1. 1 Open a booking → check furniture counts/layout notes.
  2. 2 Mark items Available / Not Available / Not Needed.
  3. 3 Add remarks → Submit.
After both departments submit, status moves to Awaiting Admin.
Approved events can be viewed at the dashboard calendar.

Admin

Review & decide
  • Open the Admin Dashboard from the main menu.
  • Lists: Pending Admin Approvals, Flagged Unavailable, Approved, Open.
  • Open a booking to Approve, Reject, or Cancel.
Reports
  • Use Bookings Report from the menu.
  • Filter by month/status/search; Export CSV or Print to PDF (plain table).
Management
  • Manage Rooms (names, availability) from the menu.
  • Manage Equipment (department items) from the menu.
